We are a controller of personal data under the UK GDPR and Data Protection Act 2018.

1) What data we collect

  • Identity & contact: name, email, phone (if provided), address.

  • Booking details: retreat dates, party size, ages of children, payment status.

  • Health & access needs (special category data): disability/access requirements, allergies, dietary needs, relevant medical info you choose to share for safe participation.

  • Child data: we only collect children’s data from a parent/guardian and use it strictly to deliver the retreat safely.

  • Technical data: IP address, device/browser, pages viewed, cookies (see below).

  • Communications: emails and messages you send us; feedback and surveys.

2) Why we collect it (lawful bases)

  • To deliver retreats & manage bookings (contract).

  • Payments & accounting (contract/legal obligation).

  • Safeguarding, health & safety (vital interests/explicit consent where required for health data).

  • Customer support & service notices (legitimate interests).

  • Marketing with your opt-in (consent; you can opt out anytime).

  • Legal/regulatory compliance (legal obligation).

3) Special category & children’s data

We process health/access information only to keep you and your family safe and to make reasonable adjustments. Where required, we rely on your explicit consent; you can withdraw it, but we may be unable to provide certain services without essential information. Children’s data is provided by and communicated with a parent/guardian.

4) Sharing your data

We share only what’s necessary with trusted providers under contracts that protect your data:

  • Payment processors (e.g., card processors)

  • Booking/website hosting & email service providers

  • Professional advisors/insurers (if required)

  • Authorities where required by law or for safeguarding.

We do not sell your personal data.

5) International transfers

If any provider stores data outside the UK, we use UK-approved safeguards (such as IDTA or UK Addendum to SCCs).

6) Retention

  • Bookings: usually 6 years for tax/audit.

  • Health/access notes: only as long as needed for the booking and safety, then minimised or deleted.

  • Marketing: until you unsubscribe.
    We review retention periodically.

7) Your rights

You can access, correct, erase, restrict, object, port your data, and withdraw consent (where used). To exercise rights, email info@greenhavenretreat.org.

If you’re unhappy, contact us first. You can also complain to the Information Commissioner’s Office (ICO): ico.org.uk / 0303 123 1113.

8) Cookies

9) Security

We use technical and organisational measures appropriate to the risks (access controls, encryption in transit, staff training, least-privilege access).

10) Changes

  • Cymorth cwsmer a negeseuon gwasanaeth (buddiannau dilys).

  • Marchnata gyda’ch optio i mewn (cydsyniad; gallwch optio allan unrhyw bryd).

  • Cydymffurfiaeth gyfreithiol (rhwymedigaeth gyfreithiol).

3) Data categori arbennig a phlant

Dim ond i’ch cadw’n ddiogel a galluogi addasiadau rhesymol y proseswn wybodaeth iechyd/mynediad, gan ddibynnu ar gydsyniad penodol lle bo angen. Data plant gan riant/gwarcheidwad yn unig.

4) Rhannu data

Rhennir y lleiafswm angenrheidiol gyda darparwyr dibynadwy:
taliadau, archebu/gwe-letya ac e-bost, cynghorwyr/yswiriant, a’r awdurdodau lle bo’n ofynnol. Ni werthwn eich data.

Os cedwir data y tu allan i’r DU, defnyddir amddiffynfeydd a gymeradwyir gan y DU (e.e. IDTA/Addendwm y DU i SCCs).

Archebion: fel arfer 6 blynedd; nodiadau iechyd/mynediad: dim ond cyhyd ag sy’n angenrheidiol; marchnata: nes i chi ddad-danysgrifio.
